Thoughtful planning. Disciplined execution.
The Estes approach
The event equivalent of a general contractor.
Most events are a chain of separate vendors and contracts. Estes gives that chain one lead—and gives the client one agreement.
We establish the scope, build the working budget, source and contract with the vendor team, coordinate labor and logistics, and manage the finished event through closeout. You keep control of the vision and approvals. We take responsibility for the moving parts.
SCOPE & BUDGET
We define what is included, what it takes to deliver it, and where decisions affect cost or schedule.
VENDOR TEAM
We source, negotiate with, contract, pay, coordinate, and manage the specialists needed for the event. The vendor team works through Estes—not around you.
SCHEDULE & LOGISTICS
Load-in, setup, deliveries, guest flow, labor, production, teardown, and contingencies live in one working plan.
ON-SITE COMMAND
Sarah leads the room, directs vendors and labor, protects the timeline, and keeps the client out of the weeds.
WHAT WE DO
Built for business. Equally disciplined everywhere else.
Corporate work is our focus. We bring the same disciplined process to weddings, public-facing events, and private gatherings that need a clear plan, capable vendors, and accountable execution.

FROM IDEA TO CLOSEOUT
A working process, not a pile of checklists.
Each phase has a purpose, an owner, and a clear decision point. That structure gives creativity room to work without letting the event drift.
DISCOVER — Define the outcome.
Purpose, audience, priorities, date, location, and budget when known. If no budget exists yet, we define a realistic range around the vision.SCOPE — Build the plan.
Deliverables, responsibilities, vendor packages, working schedule, allowances, risks, approval points, and the Estes fee.ASSEMBLE — Align the team.
Vendor selection, negotiations, contracts and payments, production coordination, logistics, staffing, communication, and contingencies.EXECUTE — Run the event.
Sarah directs setup, vendors, labor, guest-facing details, timeline adjustments, breakdown, and final checks.
HOW FEES WORK
Project-based pricing, built around scope.
Every event is quoted individually. Estes charges a fixed planning and management fee for the agreed scope, with a $500 minimum engagement. The client signs one agreement with Estes. We negotiate, contract with, and pay the vendor team directly; the commercial terms for approved vendor, production, and travel costs are incorporated into the event budget and contract. Scope changes are documented and priced before approval.
$500 minimum engagement
One client agreement
Changes approved in writing
THE FOUNDERS
Two disciplines. One event team.
Estes Event Co. was founded in Lake Jackson to combine construction-style project controls with hands-on event leadership. Tyler builds the commercial and administrative framework. Sarah translates the client’s vision into a well-run experience on site.
TYLER LEACH — Co-Founder · Managing Director
Tyler leads estimating, client contracting, vendor commercial terms, administration, and project controls. His construction background shapes the Estes approach: define the scope, price the work, assign responsibility, and keep the plan accountable.
SARAH POPPINGA — Co-Founder · Director of Events
Sarah translates the client’s vision into the operating plan and leads vendor direction, labor coordination, timeline management, and on-site execution. She manages the hundreds of small decisions required to make the event work without making them the client’s burden.
WHAT CLIENTS CAN EXPECT
Calm is the result of preparation.
We do not promise that events have no surprises. We build the structure, communication, and contingencies that keep surprises from becoming the client’s problem.
ONE ACCOUNTABLE LEAD
A clear point of contact across the vendor team and event schedule.
WRITTEN SCOPE AND DECISIONS
Key responsibilities, approvals, and changes are documented—not assumed.
DIRECT COMMUNICATION
Useful updates, clear questions, and no performance of busyness.
VISIBLE ON-SITE LEADERSHIP
Vendors and labor know who is directing the work and what comes next.
COMMON QUESTIONS
Before we start.
Every engagement begins with the event’s purpose, practical constraints, and the level of support the client actually needs.
WHAT TYPES OF EVENTS DO YOU TAKE ON?
Corporate events are our primary focus. We also plan and coordinate weddings, brand and community events, fundraisers, private celebrations, and other engagements when the scope, schedule, and budget are a fit.
WHO CONTRACTS WITH AND PAYS THE VENDORS?
The client contracts with Estes. Estes negotiates with, contracts with, and pays the event vendors directly. That gives the client one agreement and one accountable point of contact instead of a stack of separate vendor relationships.
CAN YOU WORK WITH OUR VENUE OR PREFERRED VENDORS?
Yes. We can evaluate a venue or vendor you prefer and, whenever practical, bring that service under the Estes scope. Existing contracts are reviewed case by case so responsibilities remain clear.
DO YOU OFFER COORDINATION-ONLY ENGAGEMENTS?
Yes, when the existing plan is sufficiently developed for us to assume responsibility. We review the scope, vendor status, timeline, and outstanding risks before quoting the engagement.
HOW IS AN EVENT PRICED?
We quote a fixed Estes planning and management fee based on the agreed scope, with a $500 minimum engagement. Vendor, production, and travel terms are incorporated into the approved event budget and contract. Changes are documented and priced before approval.
WHAT HAPPENS AFTER I CONTACT YOU?
We discuss the vision, purpose, date, location, priorities, and current planning status. When you have a budget, we build around it. When you do not, we use the scope and priorities to establish a realistic working range.
WHERE DO YOU WORK?
Our primary service area is Brazoria County and Greater Houston. We will travel wherever the event requires, subject to schedule and feasibility, with related travel expenses quoted as part of our fee.
